#Acceptance and Who May Use SnookerOS
By accessing or using the Service (as a club owner, invited staff member, or registered player) you accept these Terms. If you are accepting on behalf of a club or company, you confirm that you have the authority to bind that organization, and "you" refers to that organization.
The Service is a business tool intended for clubs and their staff and players. It is not directed at children under 16, and you may not use the Service if you are under 16. Clubs are responsible for ensuring that the player accounts they create or enable comply with this requirement.
If you do not agree with these Terms, you must not use the Service.
#Description of the Service
SnookerOS is a subscription-based club management platform. Depending on your plan and configuration, it includes modules such as:
- Table bookings and live session tracking
- Point of sale (food, drink, and pro-shop) with player profiles and ledgers
- Memberships
- Tournaments with live scoring
- Kitchen display and QR-code table ordering
- Thermal receipt printing
- Staff shift management and role-based access
- Reports and analytics
- An optional paid IoT table-lighting add-on
We may improve, add, modify, or retire features over time as part of operating and developing the platform. Where a change would materially reduce core functionality your club relies on, we will make reasonable efforts to notify you in advance.
#Accounts and Responsibilities
Club accounts are provisioned by the SnookerOS team through a guided onboarding process; there is no self-serve club signup. Once your club account exists, club owners can invite staff by email. Access is role-based: the platform supports multiple staff roles, per-user permission overrides, and optional branch-level administrators limited to a single branch.
Players and customers are registered at the desk by your club, or may self-register into your club's portal where your club has enabled that option. Your club decides which registration options to enable and is responsible for how it uses player data (see Section 4).
You are responsible for everything that happens under your club's accounts. In particular, you and your users must:
- Keep login credentials confidential and not share individual accounts
- Grant staff only the roles and permissions they need
- Promptly remove or adjust access when staff leave or change roles
- Notify us at alfaizk64@gmail.com if you suspect unauthorized access
We may rely on instructions from users who hold the appropriate role or permissions in your club account as authorized instructions from your club.
#Your Club's Data: Ownership and Our License to Operate
Your club owns its data. All data your club and its users enter into the Service, including player records, bookings, orders, ledgers, inventory, tournament records, and similar operational data ("Club Data"), belongs to your club. The platform enforces strict per-club data isolation, so no club can see another club's data. The only Club Data visible outside your club is what the club chooses to publish, including through the public Discover pages described below.
Public club pages. Unless your club turns it off in Settings > Organization > Public listing, your club's name, city, live table availability and tournaments (including the names of the players entered, shown on public brackets, match scores and leaderboards) appear on SnookerOS's public Discover pages, which anyone can open and search engines may index. Player email addresses are never shown. Your club is responsible for telling its players that their names appear there.
You grant SnookerOS a limited license to host, store, process, transmit, back up, and display Club Data solely as needed to provide, secure, maintain, and improve the Service, and to comply with law. We do not sell Club Data and we do not use third-party advertising trackers.
For privacy purposes, the roles are: for club-operations data (such as player records, bookings, and orders), your club is the data controller and SnookerOS is the data processor acting on your instructions; for club-owner and staff account data, SnookerOS is the controller. Your club is responsible for having a lawful basis to collect and process its players' data and for responding to its players' privacy requests; we provide tooling to help, including data export and deletion.
We protect data with encryption in transit (TLS), daily backups, and error monitoring, and the Service is hosted with a cloud hosting provider. The Service uses only essential cookies and tokens: authentication (JWT sessions) and preferences such as language (six locales) and theme.
#Subscriptions, Billing, and Plan Limits
The Service is provided under recurring subscription plans, invoiced monthly in advance. Prices are displayed in multiple currencies. Your subscription continues for successive monthly billing periods until cancelled. Each invoice is for the plan price for the period, plus any optional paid add-ons and any usage-based charge (such as a per-game fee) agreed with your club at onboarding, less any agreed discount, plus applicable taxes. Invoices are issued to your club by SnookerOS and paid by bank transfer, UPI or another method agreed with us; subscriptions are not renewed automatically by card.
Each plan tier has limits (for example on the number of branches, tables, and staff accounts) and these limits are enforced by the platform. If your club outgrows its plan, you can upgrade to a higher tier. Optional paid add-ons (such as the IoT table-lighting add-on) can be activated for your club in addition to your base plan and are billed as agreed at activation.
Except where required by law, subscription fees are payable in advance. Refunds or credits are handled case-by-case. Contact us at alfaizk64@gmail.com and we will review your situation in good faith. We may change plan pricing or structure with reasonable advance notice; changes take effect from your next billing period.
If an invoice remains unpaid, we may, after reasonable notice, restrict or suspend access to the Service until the balance is settled.
#Payments Between Your Club and Its Customers
Online payments made by your club's customers (for bookings, memberships, tournament entry fees, and similar transactions) are processed through your club's own payment provider accounts, using per-club payment keys that you configure. Your club may also accept cash or pay-at-desk payments entirely outside the platform.
This means your club, not SnookerOS, is the merchant of record for its customers. Your club is responsible for its relationship with its payment provider, for its own pricing, taxes, receipts, refunds, and chargebacks, and for complying with the terms of its payment provider and applicable payment regulations. Refunds go back the way the payment came in: an online payment is refunded through your club's payment provider, and a cash or pay-at-desk payment is refunded at the desk and recorded by your club. Payments are made against a bill.
SnookerOS never stores cardholder data. Card details are handled by your club's payment provider; the platform only records the transaction outcomes needed to run your club's ledgers and reports. We are not a party to transactions between your club and its customers and are not liable for them.
#Acceptable Use
You agree to use the Service only for lawful club-management purposes and in line with these Terms. You and your users must not:
- Break the law, or use the Service to store or process unlawful content or to facilitate illegal activity
- Attempt to access another club's data, another user's account, or any part of the Service you are not authorized to access
- Probe, scan, or test the Service for vulnerabilities, or interfere with or disrupt its operation (including denial-of-service or excessive automated load)
- Reverse engineer, copy, resell, sublicense, or provide the Service to third parties as a competing offering
- Upload malware or malicious code, or use the Service to send spam or fraudulent communications
- Misuse payment features or ledgers for money laundering or other financial wrongdoing
Your club is responsible for the conduct of its staff and players on the Service. If we reasonably believe the Service is being misused, we may investigate and take action under Section 10.
#Availability and Support
We aim for high availability, but the Service is provided "as is" and "as available". We do not offer an uptime guarantee, service-level agreement (SLA), or response-time commitment. The Service may be temporarily unavailable due to maintenance, updates, or events outside our control (including failures of hosting, network, or third-party providers).
Support is provided by email at alfaizk64@gmail.com. We make reasonable efforts to respond promptly and to fix verified problems, but we do not guarantee any particular resolution or timeframe.
Some features depend on your own equipment and services, for example printers, kitchen displays, network connectivity, IoT lighting hardware, and your payment provider. You are responsible for that equipment and those services, and we are not responsible for failures caused by them.
#Intellectual Property
SnookerOS and everything that makes up the platform (the software, design, interfaces, logos, branding, documentation, and underlying technology) are and remain the property of SnookerOS or its licensors. These Terms grant your club a limited, non-exclusive, non-transferable right to access and use the Service for your club's internal business operations during your subscription. No other rights are granted.
Nothing in these Terms transfers any SnookerOS intellectual property to you, and nothing transfers ownership of your Club Data to us (see Section 4).
If you send us feedback, suggestions, or ideas about the Service, you agree we may use them freely to improve the platform, without obligation or compensation. We will not use your club's name or logo in our own testimonials or marketing without your permission. This does not apply to the public Discover pages described in Section 4, which show listed clubs' public information unless the club turns the listing off.
#Suspension and Termination
You may cancel your subscription at any time by contacting us at alfaizk64@gmail.com. Cancellation takes effect at the end of your current billing period unless we agree otherwise; Section 5 explains how refunds and credits are handled.
We may suspend or restrict access to your club account, or individual user accounts, if: payment is overdue after notice; we reasonably believe these Terms are being materially breached (including the acceptable-use rules in Section 7); suspension is needed to protect the Service, other clubs, or data security; or we are required to do so by law. Where practical, we will notify you and give you a chance to resolve the issue before or promptly after suspension. We may terminate the agreement for a material breach that remains uncured after reasonable notice.
Data export on exit: your club owns its data, and we will not hold it hostage. On cancellation or termination you may request a GDPR-grade export of your Club Data, and you may request deletion of your Club Data. After a termination and a reasonable wind-down window for export requests, we will delete Club Data from live systems, with residual copies in backups deleted in the normal backup rotation cycle.
Sections that by their nature should survive termination (including data ownership, intellectual property, disclaimers, limitation of liability, and governing law) survive it.
#Disclaimers and Limitation of Liability
To the maximum extent permitted by law, the Service is provided "as is" and "as available", without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or secure, or that it will meet every requirement of your club.
To the maximum extent permitted by law, SnookerOS will not be liable for: indirect, incidental, special, consequential, or punitive damages; lost profits, lost revenue, lost data, or business interruption; or disputes and transactions between your club and its customers, staff, or payment providers.
To the maximum extent permitted by law, our total aggregate liability for all claims arising out of or relating to the Service or these Terms is limited to the subscription fees your club paid to SnookerOS in the twelve (12) months before the event giving rise to the claim.
Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, and some jurisdictions do not allow certain exclusions. In those places, the above applies only to the extent permitted.
#Changes to These Terms
We may update these Terms from time to time (for example to reflect new features, legal requirements, or operational changes). When we make material changes, we will give you reasonable advance notice, such as by email to the club owner or a notice inside the Service, and we will update the effective date at the top of this document.
If you continue to use the Service after updated Terms take effect, you accept them. If you do not agree with a material change, you may cancel your subscription under Section 10 before the change takes effect, and we will treat the cancellation in good faith under Section 5.
#Governing Law
These Terms are governed by the laws of the jurisdiction in which SnookerOS is established, without regard to conflict-of-law rules. Before starting any formal proceeding, you agree to first contact us at alfaizk64@gmail.com so we can try to resolve the dispute informally and in good faith.
If any provision of these Terms is found unenforceable, the remaining provisions stay in full effect, and the unenforceable provision will be enforced to the maximum extent permitted. Our failure to enforce any provision is not a waiver of it. These Terms, together with any order or onboarding documents agreed with your club, are the entire agreement between you and SnookerOS regarding the Service.

Legal
SnookerOS Terms of Service
Welcome to SnookerOS. SnookerOS is a multi-tenant software platform ("the Service") that helps snooker, pool, and billiards clubs run their day-to-day operations. These Terms of Service ("Terms") are a binding agreement between SnookerOS ("SnookerOS", "we", "us") and the club or business that has been provisioned with a SnookerOS account ("you", "your club"), and they also govern the staff members and players who access the Service through your club.
We have written these Terms in plain language so a club owner can actually read and understand them. If anything is unclear, contact us at alfaizk64@gmail.com before you use the Service.
